Plain English summary: FreedomHalls collects the information needed to operate our booking platform. We do not sell your data to advertisers. We share your information only with the parties necessary to complete your booking — the American Legion post you are booking with, and our payment processor. You can request to see or delete your data at any time by contacting us at privacy@freedomhalls.com.


Overview

Freedom Halls ("Freedom Halls," "we," "us," or "our") operates the Freedom Halls platform at freedomhalls.com and related mobile and web applications (collectively, the "Platform"). This Privacy Policy explains how we collect, use, disclose, and protect information about users of the Platform, including renters who book event spaces ("Renters") and American Legion post partners who list their halls ("Partners").

By using the Platform you agree to the collection and use of your information as described in this Privacy Policy. If you do not agree with this Privacy Policy please do not use the Platform.

This Privacy Policy is incorporated into and subject to our Booking Terms and Conditions.


Information We Collect

Information you provide directly

When you use the Platform we collect information you provide to us directly, including:

  • Contact information — name, email address, phone number

  • Booking information — event type, event date, guest count, special requests

  • Payment information — credit or debit card details (processed by our payment processor Stripe, Inc. — we do not store full card numbers)

  • Identity verification information — required by our payment processor for Partner payout accounts

  • Communications — messages you send through the Platform's support system

  • Photos — pre-event and post-event photos you upload through the Platform

  • Reviews — written reviews and ratings you submit following an event

  • Certificate of Insurance — documents you upload to satisfy booking requirements

  • Dispute information — details you provide when filing a dispute or appeal

Information we collect automatically

When you use the Platform we automatically collect certain technical information, including:

  • Device information — device type, operating system, browser type and version

  • Usage data — pages visited, features used, time spent on the Platform, click patterns

  • IP address and approximate location — used to detect fraud and improve Platform performance

  • Cookies and similar tracking technologies — see the Cookies section below

Information from third parties

We may receive information about you from third parties including our payment processor Stripe, Inc., when you complete a payment or receive a payout, and from email service providers when you interact with emails we send.


How We Use Your Information

We use the information we collect for the following purposes:

To operate the Platform

  • Process booking requests and payments

  • Facilitate communication between Renters and Partners

  • Manage deposit collection, review, and release

  • Process refunds and payouts

  • Handle support requests and disputes

  • Send booking confirmations, reminders, and notifications

  • Verify identity and prevent fraud

To improve the Platform

  • Analyze usage patterns to improve Platform features

  • Conduct research and analytics to understand how people use our services

  • Test and develop new features

  • Monitor Platform security and performance

To communicate with you

  • Send transactional emails related to your bookings, payments, and account

  • Send service announcements and policy updates

  • Respond to your support requests and inquiries

  • Send marketing communications where you have consented to receive them

To comply with legal obligations

  • Comply with applicable laws and regulations

  • Respond to lawful requests from government authorities

  • Enforce our Terms and Conditions and other agreements

How We Share Your Information

We do not sell your personal information to advertisers or data brokers. We share your information only as described below.

With American Legion Post Partners

When you make a booking with an American Legion post through the Platform we share your name, contact information, event details, and guest count with that post solely for the purpose of fulfilling your booking. Partners are prohibited under our Partner Hall Agreement from using your information for any purpose other than your specific booking.

With payment processors

We use Stripe, Inc. to process payments. When you make a payment or a Partner receives a payout your financial information is transmitted to and processed by Stripe in accordance with Stripe's privacy policy. We do not store full payment card numbers.

With service providers

We share information with third-party service providers that help us operate the Platform, including email delivery services, data hosting providers, and analytics services. These providers are contractually required to use your information only to provide services to us.

For legal reasons

We may disclose your information if we believe in good faith that disclosure is necessary to comply with applicable law, respond to a valid legal process, protect the rights or safety of Freedom Halls or others, or enforce our agreements.

In connection with a business transfer

If Freedom Halls is involved in a merger, acquisition, or sale of assets your information may be transferred as part of that transaction. We will notify you before your information is transferred and becomes subject to a different privacy policy.


Data Security

We implement reasonable technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encrypted data transmission (HTTPS), access controls limiting who can access personal data, and use of industry-standard payment processing security through Stripe.

No method of transmission over the internet or method of electronic storage is completely secure. While we strive to use commercially acceptable means to protect your personal information we cannot guarantee its absolute security. Data Retention

We retain your personal information for as long as necessary to provide the Platform services, comply with our legal obligations, resolve disputes, and enforce our agreements. Specifically:

  • Account information is retained for the duration of your account and for 3 years following account closure

  • Booking records and payment information are retained for 7 years to comply with tax and financial recordkeeping requirements

  • Photos uploaded through the Platform are retained for 2 years following the associated event date

  • Support and dispute communications are retained for 3 years following resolution

  • Marketing communications data is retained until you unsubscribe or request deletion


Your Rights

Depending on your location you may have the following rights with respect to your personal information:

  • Access — you may request a copy of the personal information we hold about you

  • Correction — you may request that we correct inaccurate or incomplete information

  • Deletion — you may request that we delete your personal information subject to certain exceptions

  • Portability — you may request that we provide your information in a machine-readable format

  • Opt-out of marketing — you may unsubscribe from marketing emails at any time using the unsubscribe link in any marketing email

To exercise any of these rights contact us at privacy@freedomhalls.com. We will respond to your request within 30 days. We may ask you to verify your identity before processing your request.

Please note that some of your rights may be limited where we have a legal obligation to retain certain information or where fulfilling your request would adversely affect the rights of others.


Cookies and Tracking Technologies

We use cookies and similar tracking technologies to operate and improve the Platform. Cookies are small text files stored on your device.

Types of cookies we use

  • Essential cookies — required for the Platform to function, including authentication and security cookies. These cannot be disabled.

  • Functional cookies — remember your preferences and settings to improve your experience

  • Analytics cookies — help us understand how visitors interact with the Platform so we can improve it

You can control cookies through your browser settings. Disabling certain cookies may affect the functionality of the Platform. We do not use cookies for targeted advertising purposes.


Children's Privacy

The Platform is not directed to children under the age of 18 and we do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18 without parental consent we will take steps to delete that information. If you believe we have collected information from a child under 18 please contact us at privacy@freedomhalls.com.


Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new Privacy Policy on this page with an updated effective date and by sending an email notification to registered users. We encourage you to review this Privacy Policy periodically.

Your continued use of the Platform following the posting of changes constitutes your acceptance of those changes.
