& Conditions
By submitting a booking request through Freedom Halls, you agree to these terms in their entirety.
Nature of the Booking
Freedom Halls is an online marketplace that connects renters with American Legion post halls
Freedom Halls is not the venue owner or operator
The rental agreement is between the renter and the American Legion post
Freedom Halls acts as the booking and payment intermediary only
Listing availability is subject to Post Commander approval
Submitting a booking request does not guarantee a confirmed booking
Freedom Halls reserves the right to decline any booking request at its discretion
Payment Terms
Full hall rental fee plus platform fee is due at time of booking confirmation
Platform fee is non-refundable under all circumstances
Damage deposit is collected at payment and held in escrow until 48 hours after the event
Deposit amount is determined by hall size and event type (displayed at checkout)
Payment must be completed within 48 hours of approval or the booking is released
Cancellation Policy
30 or more days before event: full refund of hall fee, platform fee is always non-refundable
15 to 29 days before event: 50% refund of hall fee, platform fee is always non-refundable
7 to 14 days before event: 25% refund of hall fee, platform fee always non-refundable
Under 7 days before event: no refund of hall fee or platform fee
One free reschedule permitted with 14 or more days notice - date subject to availability
Second reschedule incurs a $25 rescheduling fee
Rescheduling within 7 days of the event is treated as a cancellation
Certificate of Insurance
Events with 75 or more guests require a COI with minimum $1,000,000 general liability
Events with any alcohol service require a COI regardless of guest count
The hosting American Legion post must be named as additional insured on the COI
COI must be submitted via the Renter Portal no later than 14 days before the event
Failure to submit a qualifying COI by the deadline results in cancellation without refund of hall fee or platform fee
Freedom Halls reserves the right to require a COI for any event at its discretion
Renter Responsibilities
The renter is responsible for the conduct of all guests during the event
The renter agrees to leave the hall in the same condition as found
Pre-event photos must be uploaded to the Renter Portal within 24 hours before the event start time
Post-event photos must be uploaded within 24 hours after the event end time
Failure to submit pre-event photos constitutes acceptance that the hall was in good condition at the start of the event
The renter is responsible for any damage to the hall, equipment, or property caused by themselves or their guests
Damage costs exceeding the deposit will be invoiced to the renter and are legally collectable
Deposit and Damage Policy
Deposit is refunded within 48 hours of post-event photo submission if no damage is identified
If damage is identified Freedom Halls will notify the renter within 48 hours with documentation
Minor damage up to the deposit amount results in full or partial deposit forfeiture
Damage exceeding the deposit amount will result in an invoice for the difference
Freedom Halls determination of damage is final subject to photographic evidence
Renters may dispute a damage determination by visiting freedomhalls.com/dispute within 72 hours of notification
Hall Rules and Post Policies
The renter agrees to comply with all rules set by the hosting American Legion post
Alcohol service is subject to the post's specific alcohol policy as displayed on the hall listing
The renter is responsible for obtaining any required event permits or licenses including alcohol permits where applicable
The renter agrees not to exceed the stated maximum capacity of the hall
Smoking is prohibited inside all Freedom Halls venues unless explicitly stated otherwise
The renter agrees not to affix anything to walls, ceilings, or floors that could cause damage
Confetti, glitter, and similar loose materials are prohibited unless the post explicitly permits them
Outside catering is subject to the post's catering policy — displayed on the hall listing
Event Types and Prohibited Uses
Freedom Halls halls may not be used for any illegal activity
Political fundraisers, rallies, or campaign events are prohibited without prior written approval from Freedom Halls and the post
Events promoting discrimination, hate, or violence are prohibited
Adult entertainment events are prohibited
The renter represents that the event description provided at booking is accurate
Misrepresentation of the event type or guest count is grounds for immediate cancellation without refund
Liability
Freedom Halls is not liable for any injury, illness, loss, or damage occurring at the event
The hosting American Legion post is not liable for renter's or guests' personal property
The renter assumes full liability for all activities that occur during the rental period
FreedomHalls total liability to the renter shall not exceed the platform fee paid for the booking
Post Commander Authority
The Post Commander retains the right to terminate an event in progress if the renter or guests violate post rules or these terms
In the event of termination no refund will be issued
Freedom Halls supports and enforces the Post Commander's authority over their facility at all times
Privacy and Communications
By submitting a booking request the renter consents to receive booking-related communications from Freedom Halls via email and phone
Renter information is shared with the hosting post solely for the purpose of the booked event
FreedomHalls does not sell renter data to third parties

Governing Law
These terms are governed by the laws of the State of Texas
Any disputes shall be resolved in the courts of Harris County, Texas
By submitting a booking request the renter waives the right to a jury trial and agrees to binding arbitration for any claim under $10,000
